About this policy
Last updated: 24 September 2026. Driftwood Dreams Ltd, company number 16424470, trading as Firefly Pixel Photography, is responsible for the personal information it handles as a controller. Our registered address is 400 Thames Valley Park Drive, Reading, England, RG6 1PT. Contact info@fireflypixelstudio.com or 07436652526 about this policy or your information. This policy explains our handling of personal information under UK data-protection law, including the UK GDPR and Data Protection Act 2018.
Information we handle
Enquiries and bookings may include your name, contact details, event date, location, brief, correspondence, contract and invoice information. Photography and video can identify the people shown. Gallery delivery may involve access and download information. We receive information from you, from the photographs and video we create, and where relevant from the school, business or organiser arranging a shoot. Website delivery may involve technical information such as IP addresses, browser details and security logs.
The enquiry form
When you submit this form, your name, email address, chosen service, preferred date and message are processed by our website on Hostinger and sent through our studio mailbox to info@fireflypixelstudio.com. We use your enquiry to respond and take steps towards a booking at your request. The form does not keep a separate database of enquiry messages. Messages remain in our email system according to the retention criteria in this policy. Please avoid sensitive information or children’s personal details in an initial enquiry.
Why we use information
We use enquiry and booking information to discuss your requirements, quote, plan, provide and deliver the services you request. The lawful basis is taking steps at your request before a contract, or fulfilling our contract with you. Legal obligations apply to records needed for matters such as accounts and tax. Legitimate interests may apply to handling an organisation's booking, coordinating event coverage, keeping systems secure and resolving disputes, where these interests are not overridden by your rights. Permission for promotional publication is considered separately from the booking. Where we rely on consent, including written consent for publishing children's images, you may withdraw it for future use by contacting us.
Who may receive information
Information may be handled by service providers supporting website hosting, email, file storage, gallery delivery and printing, and by photographers or other professionals needed for your booking. Relevant information may also be provided to professional advisers or public authorities where legally required. The information shared depends on the service and purpose. For school commissions, the school's privacy information and our agreed controller or processor role also apply. Contact us for details of the providers relevant to your enquiry or booking.
Processing outside the UK
Online services can involve processing outside the UK. A restricted international transfer must have a lawful basis under UK transfer rules, such as UK adequacy regulations or appropriate safeguards. You can contact us for information about where data connected with your booking is processed and any safeguards that apply, including how to obtain a copy.
How long information is kept
Retention depends on the purpose and the type of record. Relevant criteria include whether an enquiry remains active, the duration of the booking and agreed gallery access, delivery and follow-up needs, the period for which image permission or a licence remains relevant, accounting obligations and the need to deal with a complaint or legal claim. Photographs and video are not promised indefinite storage or gallery access; availability is agreed with your booking. Information should no longer be retained when there is no remaining necessary purpose. Contact us about the records or images relating to you.
Children and publication
School photography follows the school's agreed safeguarding and photography arrangements and the studio's Safeguarding & Children's Photography Policy. We never publish images of minors without explicit written permission from a parent or guardian. Permission to take photographs is separate from permission to use them in our public portfolio. Contact us if you have a concern about an image or wish to discuss permission.
Your rights and complaints
Depending on the circumstances, you may request access, correction, erasure, restriction or a portable copy of your personal information, or object to its use. You may withdraw consent without affecting processing that was lawful before withdrawal. Contact info@fireflypixelstudio.com to exercise a right or raise a privacy concern. Requests are handled within the applicable statutory time limits; identity checks or legally permitted extensions may apply. You can also complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/.
Website technology and external links
This website has no analytics, advertising trackers or automated decision-making. Photographs, videos and fonts are supplied with the site. The Cookie Policy explains browser storage. Instagram and Google Maps are external links: visiting them is your choice and their own privacy policies apply on their services.
Form submission provider
Hostinger provides our website hosting. Our configured email service processes quote notification messages. To limit abuse, the website temporarily records a keyed hash of the connection’s IP address and submission timestamps for up to 24 hours; the original IP address and enquiry content are not stored in this form-specific rate-limit record. Hosting security logs may be processed separately. Contact us for details of the email provider and any international-transfer safeguards relevant to your enquiry.
